What we collect, why, how long we keep it, and what you can ask us to do about it.
VisaXplain is the data controller for the personal data described here. If anything below is unclear, or you want to exercise any of the rights listed, contact us through the contact page.
What we collect, and why
The dates you type into a calculator. Visa start and end dates, trips outside the UK and the reasons for them, and declarations about custodial sentences or immigration bail. We use these only to produce your result and, if you save it, to show you that report again.
Some of this is sensitive, and we want to be direct about it. A reason such as medical emergency or compassionate is information about your health. A declaration about a custodial sentence or immigration bail concerns criminal matters. We process these only because you chose to enter them so that the calculator could apply the rules to your situation, and for no other purpose. You never have to enter them — leave them blank and the calculator still runs.
Your account, if you create one. Name, email address, and optionally phone number and date of birth. Used to sign you in and to keep your saved reports.
Analytics, only if you agree. If you accept analytics we record which pages were viewed, an irreversible fingerprint of your IP address, your browser and device type, and which calculator steps were used. If you decline — or simply never answer — none of this is recorded, and anything already recorded during that browsing session is deleted.
We do not sell your data, use it for advertising, or build profiles about you.

Deleting your account deletes your saved reports, trips and visa history with it.
Who else sees it
Our hosting and email providers process data on our behalf under contract. We do not send your calculator inputs to anyone else, and your IP address is not sent to any third party.
Where a provider we use is outside the UK, transfers are made under an approved safeguard such as the UK International Data Transfer Agreement or Addendum.
Your rights
You have the right to access your data, correct it, have it erased, restrict or object to how we use it, receive a portable copy, and withdraw consent at any time.
- Access and portability — the settlement, Skilled Worker, Global Talent, Health & Care, Scale-up, spouse/partner and visitor calculators have an Export button that gives you your data as a file you can keep or take elsewhere. For anything held against your account, ask us and we will send you a copy.
- Erasure — Profile → Delete account removes your account, reports, trips and visa history.
- Withdrawing analytics consent — use the control at the bottom of this page. It takes effect immediately, and anything recorded in the current session is deleted.
If you think we have handled your data wrongly, please tell us first so that we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Cookies
We use a cookie to keep you signed in and one to remember your analytics choice. Both are necessary — one for the site to work, one to honour the decision you made. Analytics cookies are set only if you agree.
